Personal data we collect
We collect the name, phone number, email address, company, address and free-text information you provide through our quote request, premises enquiry and service report forms. Please avoid including sensitive personal data in free-text fields.
Purposes and legal bases
We process data to respond to enquiries and prepare quotes. The legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)). Tenant service reports are processed to perform the contract (Article 6(1)(b)). Customer communication may also rely on our legitimate interest in managing customer relationships (Article 6(1)(f)), taking your rights and interests into account.
Recipients and data processors
Website hosting and database providers (Lovable Cloud), together with our email service provider, process data as necessary to operate the website and handle your requests. Your data is never sold.
Retention period
Enquiries that do not lead to a contract are deleted after 12 months. Customer data and accounting records are retained for as long as required by accounting legislation and other applicable legal obligations.
Your rights
Subject to the conditions in the GDPR, you have the rights of access, rectification, erasure, objection, data portability and restriction of processing. Contact info@kvadraten.fi to exercise your rights. You also have the right to lodge a complaint with the Office of the Data Protection Ombudsman.
